Overview
IBM Lotus Notes allows users to encrypt individual or all e-mails using a Public/Private key system so that only the sender and recipient can view them. Many large enterprises have adopted this easy-to-use facility but encryption creates problems when migrating e-mails to a new environment such as Microsoft Exchange, since encrypted mail files cannot be accessed by batch migration utilities.
End-user-driven decryption is typically the only way around this problem; however this can involve a large user-training overhead, especially where many thousands of users are to be migrated.
The TransVault™ Notes Decrypter allows the process of detecting and then decrypting any encrypted e-mails to be centrally managed, while ensuring end users are given full visibility and indeed grant their permission for the decryption process to occur.
Once decrypted, items can be successfully migrated to Exchange using Microsoft or 3rd party migration applications.
The TransVault Decrypter can also be used alongside other solutions in the TransVault Notes Migration Suite, which include:
Benefits
Encrypted Notes e-mails present organizations with a tricky challenge when migrating data, as private keys for decryption cannot easily be accessed by centralized processes.
Client-based solutions are available, but this approach requires that end-users interact with specialized desktop applications, a scenario that will invariably lead to an increased burden on the IT team. A low success rate is also inevitable, owing to the fact that users may be ‘too busy’, ‘not IT savvy enough’, or simply not motivated to personally oversee the decryption of their items. Introducing TransVault - a better way to move
The TransVault Decrypter provides a fully centralized decryption service that enables end users to authorize decryption with a single click.
No Desktop Installation
The TransVault Decrypter minimizes overheads for the IT team as it requires no desktop install and no end user training. Users simply receive an e-mail which includes a decryption authorization button. There’s no need to enter a password or take any further action on the part of the recipient.
Encryption Status Reporting
The TransVault Decrypter includes a status reporting service that enables administrators to first review the number of encrypted documents owned at a per user and a user-group level.
A special decryption request e-mail can then be sent to selected individuals or groups of users, e.g. ‘The Marketing Department’.
TransVault monitors the status of your requests, indicating on a per user basis when decryption has been authorized. If needed, administrators can send a reminder decryption request to just those users that have not yet taken action.
Now You’re Ready to Go!
Once the status of your selected users has turned to ‘decrypted’, you can start to migrate items across to the new environment. This can be done using Microsoft or 3rd party mailbox migration tools or using other solutions in the TransVault Notes migration suite.
Enhanced Compliance
Encryption is a valuable tool for protecting e-mails from unauthorized access, especially when being sent externally or when stored on systems that may be ‘at risk’, such as laptops. It can, however, present a huge obstacle to your own company when responding to internal or external discovery requests, as key evidence may be blocked from view.
Encryption may even be used as a means of preventing inappropriate e-mail content from being detected by the organization.
By using the TransVault migration approach in combination with industry-leading archive and e-discovery solutions, your organization can significantly reduce the costs and complexity of auditing and producing data held in corporate emails, without loss of security.
