Overview

File Attender for Lotus Notes is a Lotus Notes-based file and IM management product that manages the files on a user's hard drive or on a Domino server, which includes files on any random access storage that the user or server can address (File server, WORM, SANS, NAS, Jukebox, etc.).

Managing Files

 

The sole purpose of File Attender is to manage the user and/or server files. The files to be managed can exist directly on the user/server hard drive, any mapped device and/or any UNC path device. File Attender provides the ability to archive, delete and move files from their current locations. When archiving or moving, you set the destination for the files within the File Restriction. Or if you simply wanting to know what files currently exist, you could simply collect the information regarding the desired files and File Attender will allow you to view the information for these files.

File Attender can be crucial in centralizing information into a repository, so that you then have access to the files contents. This can help when dealing with issues regarding litigation, but also addresses problems regarding compliance. Today, both of these issues are demanding more and more focus from the information technology department of companies to help collect information regarding court cases or to help the legal community in determining the scope of possible problems.

Currently, most companies are only looking with email for information that is vital, however, keep in mind that once a user saves an attachment from an email, the file now exists in the user-specified destination. If the user then deletes the email, the only occurrence of the file could be on one user's hard drive. Most companies do not want to depend on a user to maintain vital corporate information.

Reporting by Server

 

File Attender provides the ability to view the files that have been managed for each server (if applicable). The Server File Information documents which contain the file information, are created as response documents to the Server Information documents within File Attender. The Server File Information documents will display the file name, location (drive and folder), size, last modification date, action requested and status. This will provide you with the necessary information regarding the files that were managed (e.g. archived, deleted, moved, etc.). The Server File Information documents are also used to display the file collection information.

You can specify how long (in days) the Server File Information documents are to exist within File Attender, before they are automatically deleted. This is specified within the Information retention tab of the Server Definition document, which can be found within the Administration | 1. Servers | 1. Definitions view. During the File Attender Installation, the Server Definition documents are automatically created and the Server File Information documents are assigned a 7 day retention.

 

Reporting by User

 

File Attender provides the ability to view the files that have been managed for each user (if applicable). The User File Information documents which contain the file information, are created as response documents to the User Information documents within File Attender. The User File Information documents will display the file name, location (drive and folder), size, last modification date, action requested and status. This will provide you with the necessary information regarding the files that were managed (e.g. archived, deleted, moved, etc.). The User File Information documents are also used to display the file collection information.

In addition, if an error occurred during either the user agent execution or during the user agent deployment, additional documents are created within File Attender. If an error occurred during the user agent execution, a User Log Information document is created. If an error occurred during user agent deployment, a User Open Information document is created. Both the User Log Information and User Open Information documents are also created as response documents to the User Information documents within File Attender. These documents will provide insight as to the specific error that was encountered, which can then be given to technical support.

You can specify how long (in days) the User File Information, User Log Information and User Open Information documents are to exist within File Attender, before they are automatically deleted. .
